TrainerPal ("we", "us", "our") provides coaching software that helps fitness coaches manage training programmes, nutrition plans and client communication. This policy explains what personal data we collect, why we collect it, and the choices you have.

This policy covers coaches, gym/team administrators, and their clients who use TrainerPal ("the Platform"), as well as visitors to our website.

2. Information we collect

• Account details - name, email address, password (stored hashed), role (coach, client, gym admin).
• Coaching data - training programmes, nutrition plans, check-ins, progress photos, body-weight and measurement logs, messages between coaches and clients.
• Billing information - subscription tier and payment status. Card details are processed directly by Stripe; we do not store full card numbers on our servers.
• Usage data - log-in activity, streaks, device and browser information, and similar diagnostic data used to keep the Platform reliable.

3. How we use your information

• To provide and operate the Platform, including displaying training/nutrition plans and check-ins between coaches and their clients.
• To process subscription payments via Stripe.
• To send essential account emails (password resets, welcome emails, check-in reminders).
• To maintain security, prevent abuse, and troubleshoot issues.
• To improve the Platform based on aggregated, non-identifying usage patterns.

4. Who can see your data

Client data (plans, check-ins, progress photos, messages) is only visible to the client and the coach or gym they are connected to. Coaches within a gym cannot see another coach's clients. We do not sell personal data to third parties.

5. Third-party services

We rely on a small number of trusted providers to run the Platform, including hosting infrastructure, Stripe for payment processing, and transactional email delivery. These providers only receive the data needed to perform their function and are bound by their own privacy and security obligations.

6. Data retention

We retain account and coaching data for as long as your account is active. If you or your coach deletes an account, associated personal data is removed from active systems within a reasonable period, except where we're required to retain limited records for legal, billing or fraud-prevention purposes.

7. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details below.

8. Cookies

We use essential cookies to keep you logged in and to remember basic preferences. We do not use third-party advertising cookies.

9. Security

We use industry-standard measures - including encrypted connections and hashed passwords - to protect your data. No system is perfectly secure, and we encourage you to use a strong, unique password.

10. Children's privacy

The Platform is intended for use by adults (coaches and gym admins) and their adult clients. It is not directed at children, and we do not knowingly collect personal data from anyone under 16.
